What Are Your Software Tools Really Costing You?
Separate apps can mean extra subscriptions and more admin. Learn how to audit your software costs, understand payment fees, and compare pricing models for your Canadian wellness business.
What Are Your Software Tools Really Costing You?
Booking software. Video calls. Email marketing. A website.
Each tool serves a purpose. But together, they can create a bigger bill and more admin than you expect.
For independent yoga, fitness, and wellness instructors in Canada, the question is simple: are your tools making your business easier to run?
When useful tools become extra work
“Tool sprawl” happens when you accumulate separate apps to manage different parts of your business.
Multiple tools are not automatically a problem. They become one when you pay for overlapping features or repeatedly move information between systems.
Look for these warning signs:
- Entering the same student details more than once.
- Manually matching payments to bookings.
- Updating schedules in several places.
- Paying for features another subscription already includes.
The goal is simplicity, not necessarily fewer apps.
What a software stack might cost
Here is an illustrative monthly budget in Canadian dollars, not an industry average or a quote from specific providers:
- Booking and scheduling: CA$30
- Video service: CA$25
- Email marketing: CA$20
- Website: CA$25
- Total: CA$100 per month
Your actual bill could be lower with free plans or bundled features, or higher with premium services.
Check currencies and billing terms, too. Acuity, for example, lists Starter at US$20 per month, or US$16 per month when billed annually, before applicable taxes.
Payment fees are a separate cost
Software subscriptions and payment processing are not the same thing.
Stripe’s standard Canadian domestic-card rate is 2.9% + CA$0.30 per successful transaction. Other payment methods, international cards, and currency conversion can have different charges.
Using that rate, 50 separate CA$30 payments would produce:
- Booking revenue: CA$1,500
- Payment-processing fees: CA$58.50
- Example software subscriptions: CA$100
- Combined software and processing costs: CA$158.50
That is approximately 10.6% of booking revenue, before your other business expenses.
This is a worked example—not a typical instructor’s bill.
Is percentage pricing cheaper?
It can be—but not at every revenue level.
Compare a CA$100 monthly subscription with a 1% platform commission:
- At CA$1,500 in monthly bookings: CA$100 fixed fee versus CA$15 commission.
- At CA$5,000: CA$100 fixed fee versus CA$50 commission.
- At CA$10,000: both cost CA$100.
- At CA$15,000: CA$100 fixed fee versus CA$150 commission.
This comparison excludes payment processing, taxes, and optional services, and assumes equivalent features.
Percentage pricing reduces fixed overhead at lower booking volumes. A fixed subscription becomes relatively cheaper as revenue grows.
Compare what you can actually replace
An all-in-one platform only simplifies your business if it replaces tools you currently need.
Before switching, ask:
- Can I cancel my existing booking, website, or email subscriptions?
- Does online teaching require a separate paid video account?
- What are the processing fees and optional charges?
- Can I export my student records?
- Are there contract or cancellation restrictions?
Do not count a subscription as a saving unless you can genuinely stop paying for it.
Also consider your time. Track a week of manual updates, payment checks, and repeated data entry. Saving time can make your workload more manageable, even when it does not immediately generate extra revenue.
Where Promoga fits
Promoga Studio 360 is being developed for independent instructors and small studios. Its current founding-instructor offer advertises six months free, followed by a 1% booking commission locked for life, subject to eligibility and offer terms. Its published timeline targets curated early access beginning in January 2027.
At 1%, CA$1,500 in eligible booking revenue would mean CA$15 in platform commission, not the total cost of payment processing or running your business.
Review the full offer terms, included features, and any separate costs before deciding whether it fits.
Start with a quick audit
List your subscriptions, total their monthly costs in Canadian dollars, and track the manual tasks they leave behind.
Then compare alternatives using your own booking revenue, not someone else’s promised savings.
